Why East Africa and the Indian Ocean destinations

Planners still ask whether these places can host a real meeting, a gala or a conference — or whether they are only safari holidays. They can. Nairobi, Arusha, Kigali, Addis Ababa, Mahé and Mauritius already run boards, awards nights and plenaries. The bush and the islands then do something no Mediterranean resort, no Asian convention city and no American incentive circuit can copy.

Meetings

Nairobi five-stars, Arusha, Kigali, Addis and Mauritius hold a working agenda with AV that actually works — city and beach inventory up to 300+ rooms. Most Kenya and Tanzania bush lodges sleep 150 on double occupancy (75 single); meeting rooms there are 80–120 (Four Seasons Serengeti, Meliá Serengeti, Serengeti Explorer among them). Intimate tented camps stay 8–24. We will not put a 200-delegate plenary in a six-tent camp.

Incentives

This is the region’s strongest MICE case. Qualifiers remember a Mara crossing, a gorilla hour, a Kilimanjaro summit night or a granite-island landing. The photograph cannot be bought in Europe or the Gulf. The programme still has to be written around permits, airstrips and weather — which is why a DMC sits on it.

Events

Bush dinners, crater-rim evenings, dhow sunsets and lagoon awards nights. Indoor backup exists in Nairobi, Arusha and on Mauritius; in the Serengeti the backup is a tented dining tent and an honest weather call. We write that into the brief, not the surprise.

Conferences

Mauritius and Nairobi for scale, AV and exhibition. Arusha and Addis for East African and pan-African gatherings. Island resorts for 80–400 with a beach close enough to use at the close of day. Safari camps are for EXCO, not for a 500-delegate plenary — we will say so before you brief the hotel.

What is a destination management company?

A destination management company (DMC) is a local expert that handles all the ground-level logistics of an event in a specific destination — venues, suppliers, transport, activities, permits, and on-site coordination. When you're delivering an event somewhere unfamiliar, a DMC provides the local knowledge and relationships that make the difference between a smooth event and an avoidable problem.

What destinations do you provide DMC services in?

We work across Tanzania, Kenya, Rwanda, Uganda, Zanzibar, Seychelles, Mauritius, Ethiopia and beyond.

What does your destination management service include?

Local venue sourcing and management, supplier coordination, transport and transfers, activity and experience planning, permit and regulatory management, on-site staffing, and delegate support throughout. We handle the destination so you can focus on the event itself. Everything is managed through us as a single point of contact.

Why use a DMC rather than organising everything ourselves?

Local knowledge, established relationships, and accountability. A DMC knows which suppliers are reliable, which venues have hidden problems, which permits take six weeks to obtain, and which shortcuts aren't worth taking. Trying to coordinate an unfamiliar destination from your desk, costs more time and carries more risk than working with people who know it well.

Can you act as our DMC if we already have an event agency managing the programme?

Yes. We regularly work as the ground-level DMC partner for other event agencies, handling local logistics while they manage the overall programme. We're experienced at operating within someone else's structure and we're straightforward to work with — clear communication, reliable delivery, no territorial issues.

Which destinations in East Africa are best for incentive trips?

Tanzania (Serengeti and Ngorongoro) plus Zanzibar is the classic safari-and-sand incentive. Kenya’s Maasai Mara is best when diaries are tight and Nairobi is the hub. Rwanda and Uganda are best when gorillas are the centrepiece. Ethiopia is the highlands-and-history alternative — Lalibela, Simien and Addis as a conference capital. Seychelles and Mauritius are the Indian Ocean close for high-end or larger groups.

How far in advance should we plan a corporate retreat in Kenya or Tanzania?

Plan 12–18 months ahead for July–October safari and for flagship lodges. City board meetings in Nairobi or Arusha can often be placed in 6–9 months. Gorilla permits in Rwanda should be contracted as soon as dates are approved.
